The Reporting Tool is a comprehensive database designed to facilitate the creation of client invoices for project-related work. It provides detailed information on each design, including the creation date, the number of revisions, and associated costs.
Users can efficiently search the Reporting Tool by date, project, or client to retrieve the necessary data.
A Direct Link is a unique, non-guessable URL that provides access to a specific file. Designers and their clients can utilize this feature to share work with external parties outside their organization.
While Direct Link access does not require login credentials, it does restrict the visibility of the comment section if you are not logged in. By default, all files have Direct Link enabled; however, designers can disable this feature as needed.

- Their client has accepted an invitation to view a folder.
- Their client has written a comment.
- Their task has an upcoming deadline.
- (For agency designers) Their team leader has assigned them a task.
- Their client has accepted their invoice.
We send team leaders the same email notifications as designers, with additional notifications for:
- When their designer starts working on a task they created.
- When a task they created is approaching its deadline.
Every user type can find their notifications by clicking on the bell icon in the upper right corner.
To protect your work before the final payment is made, you can create and use your watermark in GraphiShare. To set it up, go to the “My Profile” section by clicking in the upper right corner. Here, you can upload your logo and select whether you want a multiple logo or a singular logo watermark design. You can turn your watermark on and off by client at any time.
To keep everything organized, use our task management system. Click the "Task" menu, then the "Create Task" button in the upper right corner. Here, you can enter the task name, description, deadline, and the client for whom the task is intended. Tasks in the Pending column can be sorted by priority as needed. By clicking on a task, you can modify or delete it. When you start working on a task, drag it to the "Under Progress" column. You can also filter tasks by the client using the filter option in the upper right corner.
You can create tasks from client comments as well. To do this, click the three dots in the upper right corner of the comment and select the "Create Task" option.
Within an agency, the Team Leader can create tasks for designers. In this case, the relevant designer(s) can be specified when creating the task.
You have the option to automatically include the project name and/or date in the filenames of uploaded files, leaving you only to add the type of work. You can set this up in the "My Profile" section by clicking in the upper right corner.
Here, you can decide whether to include the date, the project name, or both, and you can disable this feature entirely.
Version control is a critical and indispensable aspect that, if not properly organized, can become completely chaotic during a project.
Within the GraphiShare system, if you upload a file with an existing name, a simple pop-up window will prompt you to confirm the replacement with the new version. However, rest assured, the old version will not be deleted. By clicking the icon in the upper right corner of the preview image, both you and your client can view the revisions, which are dated, numbered, and summarized. You also have the option to delete or edit them.
This important feature allows clients to write feedback right next to the design, and cut out sections they want to keep or those that need revision.
To do this, comment in the “write feedback” box while previewing a design and click the Send button. To make a crop, click on the crop icon above the send icon, highlight the desired area, make a comment, and send it all together.
The clients can edit a comment for 15 minutes after sending it and can also delete it. Click the 3 dots in the comment’s upper right corner to reveal those settings.
The designers can also make crops and comments, to explain or draw attention to some parts or to give replies to feedback.
The comments stay visible next to the designs at all times.
With Clients
To share new folders with clients, navigate to the Clients panel. Select the client/company name you wish to add a member to, then click on the “Manage access” button in the upper right corner. Enter the new client's name and e-mail address in the subsequent pop-up window, then click the “Invite” button. Upon opening the invitational e-mail, the new client will be prompted to enter a 6-digit number to complete the login process.
With Guests
To share a file with an external member, click the "Share via Direct Link" button while previewing the file. This action will display a popup window containing a link that can be copied and sent to the guest.
If you just started using GraphiShare or got a new client, go to the Clients panel. Click the “Create client” button in the upper right corner. Fill in the details and click “create”. Your client will receive an e-mail with a code that if they enter, they will be able to view their folder.
